Set reminders automatically for your clients' upcoming expiry dates

Overview

With Docketwise, you are able to keep track of your clients' upcoming expiry dates through automatic calendaring and notification reminders. With this feature, you are able to keep track of the following types of expiry dates:

  • US Status Expiry

  • Non-Immigrant Visa Expiry

  • Advanced Parole Expiry

  • Current Authorized Stay Expiry

  • Employment Authorization Document Expiry

  • Petition Expiration

  • Passport or Travel Document Expiry

  • LCA Expiration

  • + Custom Expiry Dates (requires Custom Attributes)

For each of the expiry date types, you can indicate the following information:

  • Event Calendar

  • How long before the expiry date you would like the notification to be sent

  • Recipient(s) of the reminder (admin/all firm members/assignee(s) of associated contact)

After setting up the Expiration Date settings for a given expiry date type (i.e. US Status Expiry Date), an event and a reminder for the event will be created automatically after being added to the contact corresponding to their expiry date.

Expiry Date Reminders Settings

In order to set up Automatic Expiry Date Reminder Settings through your settings page, you will need to follow the steps below:

  1. Click the New Reminder Button

  2. Select the Expiry Date Type

  3. Choose the Event Calendar

  4. Select the default recipient(s) of the reminder (admin/all firm members/assignee(s) of associated contact)

  5. Indicate how long before the expiry date you would like to have the notification sent by selecting the unit of time and entering a corresponding numerical value

  6. Click the Save Reminder button

Note: If you wish to add multiple reminders, simply click the + Add notification option and repeat the steps mentioned above.


Individual Expiry Date Reminders

Creating the Expiry Date Event/Reminder

In order to set up an expiry date reminder for a contact in Docketwise, you will need to follow the steps below:

  1. Navigate to the contact's overview page

  2. Select the Expiration Dates tab

  3. Enter the expiry date under the appropriate expiry date category

  4. Hit Enter/Return on your keyboard

Once the date is entered and you already had an expiry date reminder setting indicated, an event will be made with a corresponding notification based on the expiry date reminder settings.

Adding the Contact as a Notification Recipient

If you would like to add the client as an attendee so they also receive a reminder, you will need to follow the steps below:

  1. Navigate to the contact's overview page

  2. Select the Expiration Dates tab

  3. Click on the πŸ”” Reminder icon above the expiry date

  4. Click in the box under Attendees

  5. Search the contact by typing their name or email address and select them as a contact

  6. Click the Save Event button

Note: If you wish to add multiple reminders, simply click the + Add notification option and repeat the steps mentioned above.
